What To Expect

0. Clicking the button

The first step towards subscribing as a member of Hyper Focal Solutions is to click on the button on the website for booking a call with me. This will take you to a short questionnaire that will give me a little information about you and your business. After answering those questions, you will get to my calendar to schedule a discovery call.

1. Discovery Call

The next step is the scheduled discovery call. This will be a 30 minute video call where we will discover if our businesses are a good fit for each other. During this call I will ask various questions to determine if our values align and if I am best suited to serve your business. There is no pressure on this call or at any other time, really.

2. Diagnostic Review

If we decide to move forward, the next step is a paid diagnostic review. To start this step I will need accountant access into your QuickBooks Online file.  I understand that this is a little like going to see a new doctor or dentist for the first time. There can be a lot of anxiety. Don’t worry. There’s no judgement here. I am here to help. 


I will be looking for any errors or other problems in the books that will need to be fixed.  Depending on the size of the file, this step could take anywhere from a day to a week to complete.

When I am finished reviewing the books, I will schedule another video call to go over what we found. I will provide a report of the problems found. And I will recommend additional services with up-front pricing. Again there will be no pressure. These services may include bookkeeping cleanup, monthly bookkeeping and monthly advisory services.

3. Bookkeeping Cleanup

This step may not be needed but usually there is at least some cleanup that needs to be done. That’s normal. The amount of time needed will vary based on the time range of the cleanup, the volume of transactions and the number of problems. At the end you will have nice clean business books. No duplicate transactions, all of the accounts reconciled for the time period, etc.

4. Monthly Services

Following the cleanup, you may decide to move ahead with monthly services. Depending on what I recommend and what you choose, this can include bookkeeping and/or business advisory.

4a. Bookkeeping

What you get: up to date clean books each month. This is your standard compliance bookkeeping: categorizing transactions, reconciling accounts, etc. The details will be in the service agreement. 


Throughout the month, if I have questions regarding any specific transactions or if I need a document, I will request those through a client portal I use. You can also answer the questions and upload any documents through that portal. It’s very easy to use. You will receive an email whenever there is something new in the portal.


Each month I also make sure you understand everything in the delivered financial reports. I email out a recording reviewing the financial reports. I will also point out anything that might be a concern that you should address. If you do not select advisory services, we will schedule a quarterly online meeting to make sure we are on the same page and if there is anything that needs to change. We can also schedule shorter monthly check-in calls for any of your questions or concerns. It all needs to be clear to you, the business owner.

4b. Business Advisory

Some firms may call this fractional CFO services. This is where the magic happens. You want to see big transformations in your business and personal life? This is where I help you achieve that. 


What is a transformation? It could be many things. One example could be the ability to afford to hire another employee to take some of your responsibilities so you can afford to take the time for vacations. Another could be increasing profit enough so that you can pay off a mortgage early. 


I use various tools such as cash flow forecasting and projections. Along the way you may see the results of those tools. I will also work with you to set goals for your business and then create a plan for achieving those goals. That’s what will lead to those transformations you’re paying for.


With advisory services we will have monthly scheduled online calls with a planned agenda to address your questions and concerns and talk about goals and whatever else that is relevant.  We can also schedule check-in calls every two weeks in between the regular meetings, if needed.

Unhappy With Service?

If you are not happy with my monthly services you can cancel at anytime.  Of course, I would like to know why and if we can fix things first. But even that is not required. You are not locked into any ongoing contract. That said, I welcome feedback at any point. I want to make sure I provide you the service you want and need.

What We Don’t Do

1. Tax filing or tax advice

I recommend you continue with your current tax professional or I can recommend one to you.

2. Payroll

There are plenty of businesses out there that just do payroll and they are great at it. Choosing one of them would be much more cost effective than having me do it. It is not my specialty. But I can help recommend a payroll provider if you need it.

Proposals and Agreements

Just a note about proposals and agreements for any of my services above that will require payment. I use an online service. The first time we have one to discuss we can go over it together in a video call. Then it will be sent by email. Once you are happy with it, you electronically sign it and set up payment information. All payments go through the same platform. All payments will be due before the start of the service. The platform allows you to go back and see all of the agreements in one place if you need to reference anything.
